Job Posting: Part-Time Practice Manager

Location: Valley Art Therapy, Birtle, MB

Valley Art Therapy is currently seeking a part-time Practice Manager in our Birtle office, with flexibility for remote work. We're looking for a versatile professional who excels in business and organization with a people-first approach, creating a well-organized and positive work environment.

About Us

Valley Art Therapy is a group practice providing coaching, counselling, therapy, and wellness. We help children, teens, and adults create positive mental health and wellness, regulate their nervous systems, and heal from trauma. We currently provide services in three locations - Birtle, Russell, and Swan River, as well as online. Key Responsibilities


Operations:

  • Document, create, and maintain Standard Operating Procedures (SOPs)

  • Track, analyze, and report on key performance indicators (KPIs) for continuous improvement

  • Manage all filing and administrative processes efficiently

  • Implement and maintain quality control processes

  • Ensure optimal operation of the practice through process optimization and innovation

  • Prepare and present reports on various aspects of the practice to the leadership team

  • Collaborate with leadership on long-term business strategies

  • Organize and manage workshops, training sessions, and other events


Office Maintenance:

  • Monitor and manage office space and supplies; coordinate ordering as needed

  • Address office concerns promptly to ensure a conducive working environment

  • Oversee IT issues and liaise with technical support as needed


Client Relations:

  • Maintain positive relationships with clients, addressing concerns and feedback promptly


Marketing:

  • Manage social media platforms, including posting, engagement, and content planning

  • Execute marketing campaigns

  • Analyze marketing metrics and adjust strategies accordingly


Finance:

  • Manage accounts payable and accounts receivable

  • Coordinate receipts with the bookkeeper

  • Assist in budget preparation and financial forecasting


Human Resources:

  • Manage employee communication and support

  • Lead employee engagement initiatives and team-building events

  • Handle all aspects of new hire paperwork

  • Ensure compliance with health and safety regulations, privacy laws, and other relevant legislation


Qualifications

  • Post-secondary education: Business and/or Psychology/Counselling related fields

  • Proven experience in business operations and management

  • Excellent communication and interpersonal abilities

  • Familiarity with finance, marketing, and human resources functions

  • Proficiency in Google Workspace, Spreadsheets, Microsoft Office and Jane.app (Electronic Health Records System)

  • Strong data analytics capabilities with high attention to detail and critical thinking skills

  • Pro-active and solutions focused with the ability to foresee and address issues

  • Exceptional time management and organizational skills with ability to prioritize dynamic responsibilities

  • Satisfactory Criminal Record and Vulnerable Sector check

Wage: Salary based on qualifications and experience 


Start Date: Negotiable


Hours: 10-15 hours/week to start
